How to manage task?

Running a project is not easy considering there are multiple task and resources needed to be managed. Most of the challenges revolve around managing what is the task that is assigned to you, when you need to do it and what is the deadline?

In order to understand how to manage the task, it is equally important The aim of a task management system is to empower you to do exactly that. A task management system makes the process of managing your task, team, and resources aligned towards a common goal and understand the priorities.

For a project manager, it is a challenging task to manage task on a project or multiple projects. We have broadly classified “how to manage task” into 4 major areas. There are probably a lot more but these are main areas we have mostly encountered while managing the project.

Project Schedule

Before breaking down the schedule of an individual task, it is important to understand the time scale of the overall project. Once the project is scaled down to the duration of an individual task, it will help the business to understand which task is CRITICAL and having ZERO FLOAT / SLACK. This task must be done on priority. Else project will never be delivered on time.

Priority

Task priority is decided by the task that falls on the critical path (task with the longest sequence of activities), those that have limited resource availability and as defined by the project owner.

Priority is set to HIGH, MEDIUM or LOW. As the name specifies, the manager must look on high priority task on an urgent basis.

Task Relationship

One of the ways to set task priorities is understanding the relationship of a task with regard to others. If there are subsequent task related to a preceding task, a delay in preceding task will delay all subsequent task. So it is important to understand the task relationship and whether the task is independent of another task or is related to another task.

Available Resources

Either one resource or multiple resources working on a project, we would like to know their availability. And how effectively they have been utilized. Having a task management system in place will enhance the visibility of required task delivery against resource availability. That will help the management to understand the requirement of resources for a particular task.How-to-manage-task_-1

It poses much greater importance on a task management system when same resources are deployed for multiple projects. In such scenario, while designing the task schedule, the availability of resources for the task is to be considered. Else the schedule has to be adjusted to align with the availability of resources.
