Project planning involves breaking down the scope of the project into various task and timeframe and with designated resources. Broadly speaking, we can define project planning into following stages:

  • Understanding the scope of work
  • Target completion date
  • Identifying the task and sub task
  • Building timeframe for each task
  • Defining Task dependencies
  • Defining resources and allocating to each task
  • Identifying the risk and issues

Often project planning is ignored in favour of getting on with the work. And sometime high level plan is done without going too much into what needs to be delivered at level 2 or level 3. A good project manager is someone who can draft the detailed plan to the lowest level.

However, without using any project management software, sometime it is hard to derive a complete plan. If you are not using any project management software, one of the easiest and quickest ways of creating a project plan template is in excel. Sometime even in large organisation using project management software, managers often use project plan template in excel to do the high level plan.

Below template is to assist you in doing very high level plans to simplify the scheduling. We are offering two free excel template for you to get started your project plan.

PROJECT PLAN TEMPLATE 1

First project plan template is a very high level template to assist you in designing project plan before beginning a project. You can use this template when you are not aware of start and end date of each activity but know how long it will take to complete.

Level 1 & Level 2 in the header represents the first and second level of your task which is followed by duration in months. You can replace month in days, weeks or year (as is suitable for you).

The duration coloured boxes are “Merge & Center” option in Excel which merge many Cell into one.

If you want to change the position of these merge cell, just click “Merge & Cell option in excel and that will bring back the cell in unmerged format. For remerging various cell together, highlight all required cell to be merged and again select “Merge & Center”

PROJECT PLAN TEMPLATE 2

This second template is bit more in details and that will add up the exact start and end date of each activity or task. You can use this template either before beginning of a project or during project planning phase when you are aware of the exact start date of the project.

In Project plan template 2, we have added the duration in days, start date and end date. End date is calculated by adding the duration (in days) to start date. The colour coded lines are inserted using Excel drawing tool.

To insert a line in excel, go to Insert > Shapes > select Lines
